Attendee bags: what goes in and the order it goes in
Bag contents are a hierarchy, and the hierarchy should be visible when the bag is opened. The item that will be seen first should be the item that matters most to the attendee, which in a customer conference is rarely the branded one. A printed agenda, a schedule with session times, and something usable for the day itself outrank a tote bag with a large logo on it. Weight follows the same logic: the heavy items go to the bottom or stay out, because a bag that is uncomfortable by lunchtime is carried once and abandoned by evening.
A workable structure is three tiers. Tier one is for use during the event: a notebook or writing surface, a drink item with a leakproof closure, and something that carries a phone and a badge comfortably. Tier two is for use after the event, at the customer desk: an item that stays visible, or one that carries a small piece of useful equipment. Tier three is the keepsake, and this is where the corporate bag usually goes, because it is the item with the highest visual reward and the lowest frequency of use. Putting the keepsake at tier three instead of tier one is what makes a bag feel considered.
The packing order matters more than it sounds. Items are packed in the order a person will find them, and the first thing found sets the impression of the whole. Items that are flat are packed near the top so they are not crushed, rigid items sit at the bottom so they do not print a mark through the fabric above them, and personalised items go on top so the name is the first thing seen. This is a two-hour assembly instruction for a volunteer team, and writing it down is more valuable than any individual item choice.
Where bags are assembled on site, the assembly point needs a table long enough to lay bags flat, a printed assembly sheet showing the order, and a completed-bag count recorded as bags leave rather than as items are packed. Where bags are delivered to hotels, the delivery becomes a room-by-room operation with a manifest, and the manifest becomes the record you will need on the morning when a room number is wrong.
| Tier | Role | Weight guidance | Where it sits in the bag |
| Tier one | Used during the event | Light, pocketable, no leak risk | Top, so it is found first |
| Tier two | Used at the customer desk afterwards | Moderate, flat profile | Middle |
| Tier three | Keepsake with the visible mark | Heaviest item allowed | Bottom, so it does not crease others |
